HSC Organization Budget Meeting – Held October 6, 2008.

  •         Doug Meyers – Director of Parking and Transportation
    • close the top level of the garage in may to re-cement
    • change the entrance and exit to VA – effective in November
    • 174 spaces back in 2009
    • project to add over 450 parking spaces getting ready to start
    • parking rate increase due jan 1st – students increase to $216
  •         Leadership Retreat Ideas!  (Determining the best for the HSC).
    • Who should take on the responsibility of achieving these tasks? Senate or exec?
      • Senate should take on responsibility
      • Form committees and have senators rank what their choices are 1-6

    • Groups that use the money for something that is not beneficial for a wide range of students will be penalized for the next years funds
    • When groups ask for money they have to state what they are going to spend the money for – budget

    • What about giving money to individual colleges? They can ask for money if what they ask for will benefit the entire HSC

*1. November 17th is the Thanksgiving Dinner at the HSC in the DLB Union.  I would like three volunteers to help serve food to the students.  Please email me if you are available and would like to unity with me at this event

HSC Leadership Retreat

  1. Brainstorming session at tables on three ideas:
    1. My life at the HSC would be easier if….
    2. Something that’s Really Needed is….
    3. Wouldn’t it be Amazing if….

  1. Rank and prioritized ideas from tables based on:
    1. Rewarding the greater good and community at the HSC
    2. Feasibility
    3. Likelihood of immediate impact

  1. Circle for open forum discussion on ideas
    1. Food choices in the food court
  • Vegetarian options (suggestion box in Beakers) always have an option
  • Two entrée choices
  • More microwaves in Union and better locations, maybe in the back
  • Covers needed in microwaves for the food
  • Smoothies served in Beakers
  • Great breakfast, serve all day
  • Extended hours for Beakers, especially when Allied Health moves

    1. Communication:  Open webpage for all (discussion boards, events)
  • Hippocrates is run thru the COM
  • Use blackboard platform linked thru SA website?
  • Webpage a centralized source of info. about community clinics etc.
  • Discussion boards for medical topics and fun stuff
  • Random seating at Senate meetings
  • Senator information sheets on expectations given out before Senators elected
  • Possible spotlight on a senator/develop organizational structure of Senate

  • Involve students from multiple disciplines to address a problem

  • Security reasons; have to use card to get into tunnels after hours
  • Change door from library to Union tunnel so it has card access instead of totally unlocked

Method of Determining Allocations

Budget applications were scored in advance using the Budget Application Scoring Sheet.  At the meeting, allocations were assigned beginning with the highest-scoring eligible organizations.  The amount of funding allocated to each group depended on the proposed use of the funds, how much money the group had used in the past, and outside sources of funding. 

General comments and recommendations

Several groups requested money to buy food for officer meetings or planning meetings.  The committee prefers that money be spent on events that benefit a broader group of students rather than on meetings. 

There is no rule that prevents spending allocated funds on food for meetings, or in ways that are not consistent with the intent of the allocations.  However, the actual use of funds will be noted when considering future budget allocations.

When groups use student fee money to purchase durable goods, like books or equipment, those items must be kept on campus for continued use by students.  They are not to be treated as personal belongings.

Many organizations are facing budget cuts.  Here are some tips to make better use of funds:

  • Co-sponsor events with other organizations that have similar goals or interests
  • Hold events in conjunction with Happy Hour or co-sponsor Happy Hour as a social event for your group
  • Host events at the Student Union or other free venues
  • Rather than providing free food for meetings…
    • schedule meetings immediately before or after an event where food is already provided
    • ask people to bring their own lunch, and provide cookies or drinks
    • ask people to pay a small fee for food, maybe $1-2
  • Seek sponsors in the community: professional organizations or individuals, community service groups, corporations, local businesses, etc.
  • Request donations in kind or negotiate special discounts, especially for food purchases
  • Consider what expenditures are actually necessary, and what can be eliminated or reduced
    • Instead of making T-shirts, have volunteers wear the same color and a sticker
    • Instead of printing posters, take advantage of free advertising in the HSC Daily News
    • Instead of printing your own pamphlets about health topics, get them for free from government agencies, non-profit groups, and even for-profit health care providers or pharmaceutical companies
