New in Brightspace (D2L)

The Continuous Delivery update for May includes multiple improvements to the Rubrics tool. Featured upgrades include improved accessibility in grading, and notifications of partially evaluated rubrics. The Pulse App for iOS has also be updated. Learners can now pin and unpin courses from the Courses screen.

Qualtrics Features Expanded

Stats iQ—This feature is now available in the Data & Analysis survey tab. Watch a short video here.

Offline Mobile App—Survey data can be collected onsite without Internet connectivity using this app. Contact the Academic Technology Team at web-courses@ouhsc.edu to request this feature.

Track Class Attendance in Zoom

Class attendance can be tracked using the Meeting Participation Reporting feature in Zoom. Instructions for downloading this report to take attendance are linked here, and can also be found on the Teach Anywhere website.

New in Brightspace (D2L)

Unlimited seats of Respondus Monitor are available through the end of April as an alternative to in-person proctored exams. Respondus Monitor includes a webcam feature for LockDown Browser that records students during online, non-proctored exams. Students are required to use a webcam and microphone with LockDown Browser in this testing environment. Instructors can then review a report with recorded details of the assessment.

D2L Basic Instructor Training

Individuals with OUHSC login credentials can self-register for the D2L Basic Instructor Training course. The course covers essential learning environment topics such as navigation and assessments. Log in to the D2L homepage and click the “More” link in the navbar to display the “Self Registration” access link.

Zoom Videoconferencing Security and Support

Zoom is being widely used throughout the university. Visit the Teach Anywhere website (linked above) to learn more about using Zoom and how to protect your virtual space with recommended security measures. Local support for Zoom and additional resources can be found on the website also.

Use of Respondus Monitor for Exam Proctoring

With the concerns over the COVID-19 outbreak, the University recognizes that HSC students, faculty and staff may face potential effects on teaching/learning in classroom. The Academic Technology Team has made arrangements with Respondus to have unlimited seats of Respondus Monitor available through the end of April as an alternative to in-person proctored exams. Respondus Monitor includes a webcam feature for LockDown Browser that records students during online, non-proctored exams. Students are required to use a webcam and microphone with LockDown Browser in this testing environment. Instructors can then review a report with recorded details of the assessment.

Although it is recommended that instructors do their best to postpone/reschedule exams for students if the need arises, this may not always be possible. Respondus Monitor is not suited to high stakes exams, but may be a solution for quizzes and low stakes exams if students must be assessed from a remote location. It is important to communicate to students if you go this route that they will be required to show an ID, conduct a facial recognition step, and do an environment check.

We recommend you watch this training webinar about Respondus Monitor here. The Academic Technology Team is here to assist you in the use of this tool as the need arises, but please plan ahead in your implementation so we have adequate time for set-up and practice before an actual exam.

New in Brightspace (D2L)

Assessment Quality dashboard now available to faculty | New

The Assessment Quality dashboard provides a visualization to help users understand the quality of assessments using quiz and question statistics such as reliability, average grade, and correlation for all quiz and question types. All quizzes and questions that have had at least one quiz attempt in the last 12 months appear on the top level of the visualization. Only each user’s first attempt is included in the dashboard, as subsequent attempts bias the metrics by which quiz and question quality are measured. Access this tool by clicking on Course Admin > Insights Portal.

You can export the visualizations in this dashboard to .CSV, .XLS, or .PPT using the export icon. You can view the visualizations as a table by clicking the table icon, or return to the visualization by clicking the table icon again.

EXIF data warning appears when uploading images | New

In some instances, when users upload .jpg files in any file upload area across Brightspace Learning Environment, an EXIF (exchangeable image file) data warning appears informing the user that the file may contain geolocation data.

Grades – Tab delimited import into Gradebook | New

Users can now import tab separated value (.tsv) files into Gradebook. Previously, users could only import comma delimited files into Gradebook, which created a usability issue in some international regions.

Quick Eval – Course level filtering | New

When assessing discussions, instructors have new multi-select options to Publish Feedback and Retract Feedback. In the Status column, the Draft / Published checkbox has been replaced by information on the date when feedback was saved as draft or published. These changes are visible on both the Users and Assessments tabs. The Save, Save and Close, and Cancel buttons have also been removed as their functionality has been replaced by the Publish Feedback and Retract Feedback options.

Quick Eval – Dismiss activities until next submission | New

Instructors can now remove items from their Quick Eval list until a new submission is received for the activity. The removed activity appears on the Dismissed Activities list and can be restored at any time. Once a new submission arrives to the Quick Eval list, the previously dismissed activity reappears there.

Previously, instructors could only select a specific date or forever when dismissing an activity. This new option provides instructors with an additional option to manage the submissions on their Quick Eval list.

Wiggio – End of life | Removed

Effective February 2020, Brightspace Wiggio is no longer available to users.

Brightspace Wiggio now unavailable

Brightspace Wiggio is no longer supported on the system. D2L has issued end-of-life status for this tool. Contact the Office of Academic Technology if you have exclusive Wiggio content needing retrieval.

Flash video support ending

Flash video will no longer be supported by the end of 2020. Now is a good time to assess course materials containing SCORM packages with Flash video or other educational materials using Flash.

Quizzes - Short Answer Questions Problem Resolved

1/13/2020 Academic Technology Team News

Previously, an issue with short answer questions in D2L Brightspace existed and was estimated to affect approximately 0.05% of quiz questions. D2L has resolved this issue.

Description of the problem:

The option to create a new short answer question using the “Save and New” or “Save and Copy” workflows incorrectly applied the default Points scheme to the question. As a result, instead of applying an equal weight to each short answer blank, the system gave all blanks a default of 0%. That meant if no modifications were made to the scoring, all correct and incorrect answers received 0%, making it impossible for learners to receive points for the question.

Important - Adjusting the points scheme in any way or editing any part of the question at any point in the future resolved this error.

To identify this problem in past quiz attempts:

  1. In the Quizzes tool, select the Statistic tab
  2. Select a quiz that has short answer question
  3. Select the Questions Stats tab
  4. Use the table of questions at the bottom of the page to identify questions where the average grade is 0%

New in Brightspace (D2L)

Assignments – Assignments List View | New

When accessing Assignments, a list view will display updated information. Previously instructors would see information on the assignment name, Total Submissions, Unread Submissions, Flagged Submissions, and Due Date. Now instructors will see information on the assignment name, the number of learners who have completed the assignment, the number of learners who have been evaluated, the number of learners who have had feedback published, and the Due Date. This allows instructors to quickly determine what assignments they need to evaluate, how far along they are with their evaluations, and if they have published the evaluations.

Classlist – Total number of users field and floating buttons | New

To improve ease of use, the total number of users for their selection (whole class, section, group) now appears in a field at the bottom of the Classlist page for at-a-glance viewing to help instructors keep track of the total number of learners, which may extend beyond the users visible on the page. On the Print Classlist and Email Classlist pages, the clickable Print and Email buttons now float consistently on screen, to ensure easy access to these actions without excessive scrolling.

Discussions – Assessment consistency changes | New

When assessing discussions, instructors have new multi-select options to Publish Feedback and Retract Feedback. Grades – Export sorting options | New

This feature introduces the ability to sort exported gradebooks based on the following options: OrgDefinedID, Username, Last Name, and First name. The sort options available are based on the User Information Privacy permissions for the role.

Groups – Self-enrollment group capacity, start dates and descriptions | New

This feature includes three improvements to Groups:

  1. Group members can now see the description of their group. For self-enrolled groups, group members will now see the group description at all times, including before and after enrollment. For other group types, instructors can now choose to display the description to members of the group. This visible group description setting is off by default for non-self-enrollment groups. Previously, all group descriptions were hidden from group members.
  2. An instructor can now increase or decrease the capacity for self-enrollment groups after they have been created, and prior to the group sign-up expiry date. Decreasing a group size to an amount smaller than has already signed up for a group will not re-allocate users to other groups. Previously, self-enrollment groups were not editable after they were created.
  3. Instructors can set Start dates for self-enrollment groups. This feature allows them to schedule self-enrollment groups availability, ensuring learners are prepared and have equal opportunity to self-enroll.

Picture Library Widget – End-of-life | Removed

The Picture Library widget is no longer supported has been removed from the System widgets. The widget provided a way to display uploaded images randomly on a course homepage. However, low usage and legacy components prompted its removal.

Previously uploaded pictures used in this widget on a course homepage are still stored in Course Admin > Managed Files. These files can be re-linked elsewhere in the course, such as a Content module web page (Upload/Create > Create New File).

Quick Eval – Dismiss activities from list | New

To improve the ability to manage items on their Quick Eval list, instructors can now select items that appear in their Quick Eval list and remove them temporarily or permanently. Instructors can view their dismissed items in the Dismissed Activities List and restore them to the Quick Eval list at any time.

Quizzes – Synchronization with Grades | New

Quiz scores and feedback entered in Grades now synchronize automatically with Quizzes. To further streamline the workflow, the Overall Feedback fields in Grades and Quizzes are now consolidated, and the Grade Item Public Comments field has been removed from Grades. All comments entered in the Overall Feedback field in Grades synchronizes automatically with the Overall Feedback field in Quizzes. This update creates a more direct workflow and aligns Quizzes with the consistent feedback experience implemented in Assignments and Discussions.

Note: Synchronization only occurs for new grade entries. Existing grade data for quizzes will not be migrated due to the high impact to all past data and reports.

Support for Internet Explorer | Removed

D2L has ended support for Internet Explorer. All versions of Internet Explorer will no longer be able to access Brightspace.

Tool Highlight

Pinning courses with the My Courses widget

On the OUHSC Brightspace homepage, the My Courses widget displays a prioritized group of courses that a user is enrolled in. By clicking the pushpin icon in the upper-right of the image, courses can be unpinned. This takes the courses out of the prioritized group. To add courses to the group, click the View All Courses link at the bottom of the widget. All available courses can be searched and pinned.

New in Brightspace (D2L)

Content – Sort order changes in Upload/Create menu

When using the Upload / Create menu to add activities to Content, the placement of the New Assignment option has moved. Previously, it appeared between New Discussion and New Quiz. Now, New Assignment appears above New Checklist.

Release Conditions – Learners are notified when a release condition triggers new content

In a course that uses release conditions to unlock additional content, learners previously were not informed when new content became available as a result of a release condition that was satisfied. Because there was no automatic notification or refresh of the table of contents, there was the potential for frustration when learners think they are done a module, and are later informed that there are steps left to be completed.

Now, when release conditions are satisfied, the learner is notified using a pop-up ("toast") message that there are new items available in the course.

Tool Alert

Respondous LockDown Browser has announced a forthcoming update. January 6-7, 2020, an update to the “Student Version” of LockDown Browser for Windows and Mac will be delivered to users with the Auto Update feature. The update will occur at the startup of LockDown Browser.

Students can update their software by going into the application on their computer. With the application open, they can click on the lowercase “i” icon in the upper left corner to see what version they have and download the update from there.

Important Notice to Faculty and Staff

An issue has been identified with short answer questions in D2L Brightspace and it is estimated that approximately 0.05% of quiz questions are impacted. It is likely that that this problem will have occurred in at least a small number of quizzes for most clients.

Description of the problem:

Previously, in Brightspace Learning Environment (LE), using Quizzes, the option to create a new short answer question using the “Save and New” or “Save and Copy” workflows incorrectly applied the default Points scheme to the question. As a result, instead of applying an equal weight to each short answer blank, the system gave all blanks a default of 0%. That meant if no modifications were made to the scoring, all correct and incorrect answers received 0%, making it impossible for learners to receive points for the question.

Important Adjusting the points scheme in any way or editing any part of the question at any point in the future resolved this error.

This issue no longer occurs for newly-authored short answer questions (as of November updates); however, short answers questions authored using the above-mentioned workflow prior to the fix still exhibit the known issue. A hotfix to repair existing short answer questions for new attempts is in development.

New in Brightspace (D2L)

Assignments – Letter grading available

Grade Schemes can now be used by instructors to evaluate assignments by associating Selectbox Grade Items to an assignment. When grading an assignment through Assignments, Quick Eval, or Grades, the evaluator is shown a dropdown menu with the associated grade scheme levels. This feature functions identically for rubrics and numeric values as the previously existing Selectbox grade item type in the gradebook.

Intelligent Agents – Email images

Users can now insert images directly into the body of intelligent agent emails using the Add Image button in the HTML editor. The images are attached to the email and shown in place when viewed in the recipient's external mail client.

Quizzes – Save feedback as draft

Instructors can now clearly see when feedback is saved as a draft, or published, while evaluating quiz submissions. On the quiz evaluation page, the Graded checkbox and Save button have been replaced by the Publish and Save Draft buttons.

Quizzes – Set quiz options in Quiz Builder

The new Quiz Builder experience now allows instructors to set additional quiz options when creating quizzes. A More Actions button is visible when users select the checkbox for one or more questions; allowing instructors to set questions as mandatory or bonus directly from Quiz Builder, and change the number points assigned to a question or set of questions. There is no change in how the bonus, mandatory, or points features work.

Assignment submissions can be downloaded as both the original file and an annotated PDF file. To download a submission in its original format, click on the hyperlinked file name in the upper-left part of the screen. Downloads from the annotation box are converted to a PDF file.

Language Consistency Updates

With the October Continuous Delivery Update, D2L has revised the naming language within some tools to offer a greater level of consistency across the platform. These changes are not disruptive to the learning environment and should result in a increased ease of use. Click the linked document below to read a full list of revisions and their impact.

Brightspace Pulse - iOS support | Updated

The latest version of Brightspace Pulse is supported on Apple devices with iOS 11 or higher. Older versions of Brightspace Pulse will continue to work on Apple devices with iOS 10, but will not receive any app updates. For an optimal experience, D2L recommends installing the latest version of Brightspace Pulse on Apple devices with iOS 11 or higher.

Look and Feel of Assignment/Quiz Submission Navigation | Updated

When evaluating a submission, the user interface has been updated slightly. The Next Student and Previous Student buttons above the submission and learner information have been replaced by forward and back chevrons that display in the immersive navigation bar.

"Inactive" is now "Hide from Users"

With the October Continuous Delivery update, D2L has transitioned from "Active/Inactive" to "Hide from Users". When creating or editing an assignment or quiz, the Restrictions tab features a check-box for "Hide from Users". If checked, this overrides any Availability dates that have been set and makes the item invisible to students.

"Grade All" is now "Enter Grades"

When viewing the drop-down menu for a grade item, the option to "Grade All" has been updated to "Enter Grades". For a complete list of language updates, click on the file below.

Alert! Instructors: Preview Quizzes in Advance

Brightspace (D2L) has been experiencing an issue within a limited number of courses where image files display in the edit mode, but not in preview or live modes. The Office of Academic Technology is tracking these instances and working with D2L to resolve the issue. If you encounter this problem, a workaround is to download the images in edit mode, rename them, and substitute the new image files for the old ones within the quiz.

Additionally, a bug has been identified which prevents individuals using some web browsers from reordering questions while using the "new quiz building experience" feature. If you encounter this, you can opt-out and return to the traditional edit view by clicking the downward chevron in the upper-right part of the screen.

LockDown Browser Error Affecting Students with Microsoft Surface Products

Students using Microsoft Surface products, particularly those with detachable keyboards, may incur an error message requiring "WUDFHost.exe" be closed.

Specifically the error states:
"You must close the following program before starting the browser: Wireless Display (WUDFHost.exe). Do you want Respondus LockDown Browser to attempt to close this program for you?"

Clicking yes on the error message should shut down the process and allow a student to proceed, although it may be necessary to do this multiple times. This could cause delay in students’ ability to access tests.

In addition, shutting down this process means that some wireless devices that use the process will not function during the LockDown Browser session. This includes some keyboards, track pads, and mice.

Respondus reports that closing the “Wireless Display – WUDFHost.exe” is necessary and students impacted by this should use a different type of keyboard and/or mouse during the LockDown Browser session. A USB corded mouse will work, as well as many USB receiver keyboard and mice.

Planning ahead is recommended

Until the Academic Technology Team is provided a better solution, the following is advised:
    • Students take the above advice to use a different type of keyboard/mouse if an alternate device is not available for testing.
    • Faculty and proctors keep loaner computers available during testing for students who do not have an alternate device for testing.

We apologize for the disruption this may cause in the testing environment, but will keep you informed if we receive any updates from Respondus technical support. Our thanks to the OUHSC IT-HelpDesk for quickly informing us of this issue today.

Quiz Builder Available, Change to Rounding Logic Coming

Quiz Builder features additional options

New: Quiz Builder is a new workflow for adding, editing, reordering, and deleting quiz content in the Quizzes tool. This feature currently has an opt-in/opt-out option.

Quiz Builder saves instructors time by streamlining the screens and work flows for building and arranging quiz content. Instructors can add questions, sections and question pools, or import from the Question Library. From a single interface, they can edit, delete and reorder questions. They can also review critical information such as question points and total points in the quiz; mandatory and bonus status and shuffling behavior.

Rounding logic updating in September

Coming Soon: The September Continuous Delivery update from D2L will mandate rounding logic for arithmetic and significant figures questions in quizzes to round up from .5 by default.

The updated rounding logic for arithmetic and significant figures questions in quizzes, will now round up from .5 by default. Previously, these types of questions used to round to the nearest even integer (“banker’s rounding”). As a result, some calculations will round up where they previously rounded down from .5. Past quiz attempt scores are not affected by this change.

To keep with the current D2L (Brightspace) standards, the system has updated the language set. As a result, Dropboxes are now called Assignments. Under the Assessments link in the navbar there will no longer be a Dropbox link. The Edit Course navbar link is now Course Admin.

Insights Portal No Longer Available

As part of its March Continuous Delivery Update, D2L released a major change to provide easier access to analytics about learners and courses. You will no longer be using the Insights Portal to access course analytics. A new Course Overview widget has been added to course home pages in D2L. The widget can be found by scrolling down to the bottom-right side of a course home page. Please note: With this update, the Insights Portal is gone. Analytics will now be accessed through the Course Overview widget. Information currently available within the Course Overview widget includes the following:
    1. Class Engagement (current student grades, predicted final grade, last access date to course and discussions)
    2. Course Access (number of users who accesses a course per day)
    3. Tool Access – Course Report (interactions per tool within a course)

With an upcoming Continuous Delivery Update, D2L will release additional assessment data. Please note that while we are awaiting this release, the statistics available in Quizzes are now more robust and will be the resource faculty need to use for the time being.
